Director of Administrative Services

The Role

The Director of Administrative Services is responsible for the provision of effective administrative support functions to the Chancery and the Diocesan Ministry Centre. These functions include clerical, administrative, reception, human resources and information communication technology services (ICT). The Director of Administrative Services is responsible for the operations of the Administrative Services division including the supervision of staff within that division. The Director also provides management oversight for staff reporting in their professional capacity to a Vicar who works within the Chancery. The Director of Administrative Services will also provide support and advice to parishes, ministries and other agencies with respect to the management of human resources and administrative processes within those entities. The Director also leads the Parish Support team of the Chancery.

Your main responsibilities will include:

  • Supporting and embedding the teachings of the Church and the ethos of the Diocese in the delivery of clerical, administrative, reception, human resources, ICT , Fleet and security services to the Chancery and ministry Centre
  • The Director takes responsibility for their performance with integrity and diligence
  • Strategic and operational leadership responsibility for all administrative services functions including compliance with staff development requirements and the operational budget of the division
  • Ensure provision of ICT systems to support the other functions of the Administration services team
  • Ensure provision of ICT helpdesk support services for the Chancery and ministry centre
  • Oversight of all support operations including providing the managerial support to other areas and agencies of the Diocese
  • Mentor and where necessary performance manage Administrative services division staff including establishing appropriate personal and professional goals
  • Provide guidance to managers and parishes in effectively dealing with the complexities of a modern HR office
  • Through the Chancery/ministry centre administration, Human Resources, Records and ICT Team and in collaboration with the Diocesan Finance, Property & Communications teams ensure the provision of advice and support to the Parishes
  • Plan, drive and execute special Diocesan projects, forming capable teams of multiple stakeholders to deliver projects on time and within budget
  • Execution of security management policies in cooperation with Catholic education for security management of common areas
  • Manage the Diocesan fleet of vehicles

About You

To be successful in this role you will bring the following qualities and experience:

  • Tertiary qualifications in management, business administration or related discipline
  • A demonstrated commitment to the ethos and values of the Catholic Church
  • 3-5 years managing a professional services team
  • Proven senior experience in a complex organisation and the ability to interact effectively with multiple and diverse stakeholders.
  • Proven ability to work autonomously, to think creatively and laterally, to problem solve and to implement strategic plans & responses that take into account risk assessments, budgetary requirements and organisational needs
  • Ability to contribute executive level leadership with proven ability to contribute to an Executive team in a positive, valuable and professional manner
  • A high level of knowledge and understanding of contemporary human resources management practices
  • A personal commitment to the Catholic faith
  • High level knowledge and understanding of industrial, employee relations and work health and safety compliance requirements
  • High level knowledge and understanding of contemporary performance management systems
  • High level knowledge and understanding of contemporary information technology platforms and applications
  • Ability to understand, analyse and work to a defined budget
  • Proven senior experience in a complex organisation and the ability to interact effectively with multiple and diverse stakeholders.
